PRIVACY NOTICE
How RescueSpan handles account, organization, and animal-welfare coordination information.
This notice explains the information RescueSpan receives, why it is used, how it may be shared, and the choices available to users and organizations.
1. Scope and operator
This Privacy Notice applies to rescuespan.com, app.rescuespan.com, related RescueSpan pilot environments, and communications sent through those services. RescueSpan is a Shuff Platform service operated by Steve Shuff. Participating shelters, rescues, municipal agencies, and other organizations also control the information they enter and the people they authorize.
2. Information RescueSpan receives
- Account and identity information: name, email address, password credentials handled by WordPress authentication, verification status, and account preferences.
- Organization and role information: organization name and type, memberships, roles, permissions, invitations, access requests, and responsible-use acknowledgments.
- Animal-welfare operational records: Animal and Family records, placement and transport information, approved medical and behavior information, care observations, decisions, messages, dates, handoffs, outcomes, and record history entered by authorized organizations.
- Public requests and support communications: access requests, contact forms, workflow descriptions, support messages, and replies.
- Technical and security information: login and session information, essential cookies, timestamps, notification and email-delivery records, error logs, and hosting security data needed to operate and protect the service.
3. How information is used
RescueSpan uses information to authenticate users, apply organization permissions, provide placement and care workflows, deliver required-action notifications, preserve accountable history, respond to requests, secure and troubleshoot the service, improve the pilot, and meet legal or operational obligations.
4. How information is shared
Information may be visible to authorized members of the organization that entered it and to approved partner organizations when a RescueSpan workflow intentionally shares it. RescueSpan may also use hosting, email-delivery, backup, security, and software service providers only as needed to operate the platform. Information may be disclosed when reasonably necessary to comply with law, protect safety, investigate misuse, or defend the service and its users.
RescueSpan does not sell personal information and does not currently use personal information for targeted advertising. If that practice changes materially, this notice and the required acknowledgment will be updated before the change applies to existing users.
5. Organization-controlled records
Participating organizations are responsible for deciding what information they are authorized to enter, who within their organization may access it, what may be shared with a partner, and how long operational records must be retained. A user request to change or delete an operational record may need to be handled by the organization that controls that record rather than by RescueSpan alone.
6. Retention
Account, acknowledgment, notification, and operational records are retained for as long as reasonably needed to provide the service, preserve placement and care history, support participating organizations, resolve disputes, maintain security, and meet legal obligations. Backup copies and technical logs may remain for a limited period after active records change or are removed.
7. Security
RescueSpan uses role-based access, authenticated accounts, encrypted web connections, email authentication, backups, and other administrative and technical safeguards appropriate to the current pilot. No online system can promise absolute security. Users must protect their credentials and report suspected unauthorized access promptly.
8. Choices and requests
Users may review or update basic account information, request correction of inaccurate personal information, ask about access or retention, or report a privacy or security concern. Rights may vary by location and applicable law. RescueSpan may need to verify identity and coordinate with the organization that controls an operational record before completing a request.
9. Children
RescueSpan is an organizational animal-welfare platform and is not intended for children under 18. Do not create an account for a minor or enter unnecessary information about minors.
10. Changes to this notice
RescueSpan may update this notice as the service, vendors, or legal requirements change. Material changes will be presented clearly and may require a new in-application acknowledgment before continued use.
11. Contact
Use the Contact & privacy requests page and choose Privacy request or Security concern. Do not include confidential Animal records in the public form.
